Coordinate travel arrangements. Prepare and issue itineraries and logistics where necessary with other JnJ and external contacts. Arrange ground transportation when needed. Prepare, submit and maintain expenses reports. Process departmental purchase orders and invoices. Responsible for departmental stationeries, fax and copy machines. Performs calendar management for Sr. Director and schedules inside and outside group meetings. Screen incoming calls as required, demonstrating customer focus and professionalism when interacting with callers, taking complete and accurate memos. Draft and generate documents in both English and Chinese using MS Office applications (MS Word, EXCEL, Power Point etc.). Help to create PowerPoint presentations. Maintain R database and other databases as required. Organize training and maintain training records within department. Maintain documentation in R , and assist Financial Dept. and Engineering Dept. to make inventory at the end of every year. Assist Dept. expense forecasts, expense budget and tracking; Follow up on items delegated by director. Respond to routine departmental inquiries and routes questions to appropriate personnel. Develop and organize departmental files and tracking systems to ensure information is accessible to appropriate departmental staff. Maintain a high level of discretion when handling confidential information and has continuing responsibility to avoid disclosure. Requirements: English level 6 or above. Bachelor degree in related field. Must have advanced knowledge of computer applications MS Office Word, EXCEL in order to generate spreadsheets, create databases. Demonstrated proficiency in the use of PowerPoint to prepare presentations. Must be able to work under pressure, prioritize work independently and meet deadlines. Good interpersonal skills and customer service skills necessary. Good written and verbal communication skills in both Chinese and English. Demonstrated ability to maintain accuracy, and attention to DETAILS during daily work. Good workload prioritization and organization/co-ordination skills.
