ְλÀà±ð£º ÐÐÕþ/ºóÇÚ »¯¹¤ ¹¤×÷µØµã£º »ÝÖÝ ·¢²¼ÈÕÆÚ£º 2008-05-09 ¹¤×÷¾Ñ飺 1-3Äê ×îµÍѧÀú£º ´óר ¹ÜÀí¾Ñ飺 ·ñ ¹¤×÷ÐÔÖÊ£º ȫְ ÕÐÆ¸ÈËÊý£º 1ÈË Ö°Î»ÃèÊö/ÒªÇó£º Principal Accountabilities: 1.Focal point for administrative work processing claims, invoices, purchasing routine consumable items for the use of Unit personnel, preparing KPI reports, keeping records and documents, organizing meetings, making travel arrangements, and others. 2.Provides timely and efficient administrative support to the relevant Section Leadership Team. 3.Ensures error free reporting and record keeping. 4.Co-ordinates in a timely and efficient manner between his/her section and other units (eg HR) to facilitate communication to and obtain from staff information and documents. 5.Prepare accurately presentation materials using Power Point or other appropriate computer programs. 6.Maintains an inventory of office equipment and furniture, ensuring that these are serviceable. 7.Organises the repair of office equipment and maintains a record of the repair services. When breakdown frequency and service standard are unacceptable, highlights to the relevant Manager giving suggestions for improvement. 8.Maintains a supply of stationery. Tracks usage and costs, and controls costs to within budget. 9.Be the custodian of common office space, eg meeting rooms, corridors, rest areas to ensure housekeeping is observed. 10.Prepare accurately record for testing and calibration of equipment managed by Workshop; 11.Assist in daily NSAP data cleansing and recording. 12.Maintain and administer the safety relief valve repairing&testing documentary system including collection and input history record and test data (both statutory and non-statutory) into IDMS, tracking of RV testing status and issue weekly RV planning/status report, filing of statutory calibration certificates, inventorise and recording of RV spare part usage, etc.; 13.Maintain workshop tools room inventory, administer flow of tools including updating the loan/issue records, tool condition record updates, highlighting the need of tool replacement, etc.; 14.Maintain record of workshop monthly manpower&material consumption statistics&report system; 15.Assist workshop engineer in preparation for daily external workshop services bidding and awarding works, including preparation of document for bid, liaise with FNCP department on recording and file of bid and bid results, filing of delivery/work orders, etc.; 16.Administer the surplus material recording system including recording of material issued and updating of stocks, etc.; 17.Filing of QMI equipment calibration records, administer and record usage of instrumentation consumables and parts, etc.; 18.Assist Instrument workshop technician on filing of control valve (CV) repair and maintenance records; 19.Taking part in annual stock taking exercise for tools and material within workshop; 20.Maintain and administer the bicycle registration, inspection and repair records including ordering and maintenance of the spare part list, produce monthly status report, etc.; 21.Assist the workshop engineer in preparation of daily, weekly and monthly planning and scheduling; 22.Recording and filing of lifting equipment maintenance contract document including routine maintenance records, annual inspection and calibration records, etc,; 23.Administer and filing of equipment inspection document for equipment (both own and contractors") that are inspected by workshop; 24.Provide administrative support to Reliability and Civil groups. Competencies Required: 1.Skill level in communication, planning and organizing. 2.Proactive attitude and service-oriented mindset. 3.Able to work under pressure and independently. 4.Able to pick up application software operation quickly. 5.Personal responsibility. 6.Awareness of cost-saving. 7.Attentive to the details. 8.Be a good team player. Qualifications: 1.Educational background: -The person should be a college graduate (technical college graduate preferred). -Preferably with knowledge on technical drafting. 2.Work experience: -Preferably with some working experiences in administration. 3.Language proficiency: -Skill level in the spoken and written English and Mandarin. 4.PC skills: -Skill level in using the MS Office suite, SAP and other standard office application software. -Skill in operating AutoCAD shall be an advantage Note: Please put [your name: applied position] as the email subject when applying.
