Experience working with confidential information and material as well as experience supporting executive managers a must. This position affords the candidate an opportunity to use their superior organizational and creative skills to be part of a team leading one of the world¡¯s largest architectural firms in its mission to be the ¡°best design firm in the world.¡± Responsibilities include, but are not limited to: Provide high-level, confidential administrative and project support to Principal/Market Manager Provide management in the areas of scheduling, meeting planning, and complex calendar management through Outlook. Manage complicated travel itineraries; coordinate with in-house travel department Maintain business documents, files, and historical information. Facility Support: Act as general liaison between office and building management to coordinate maintenance, repairs, security, inspections, and approvals Manage the receptionist to order service and office supplies; coordinate / communicate with vendors Manage to the receptionist to maintain smooth operation of studio machinery (plotters, printers, postage and fax machines, coffeemaker, dishwasher) Assist with maintenance and repair of other studio materials (furniture, lighting, tools) Assist with coordination of studio improvements Process vendor invoices with Accounting Department Studio Support: Manage to offer general administrative assistance to all studio members Manage the reception to maintain and schedule resources: cars, cameras, conference rooms, projectors Liaison with other departments in US (HR, Accounting, IS, Facilities, Travel, Library) Organize ¡°Lunch and Learn¡± events Coordinate firm-wide events and studio initiatives with Project / Office Admin Process and distribute mail, client, and consultant invoices Assist with recruitment (process resumes, coordinate interviews) Project Support: Meeting support client / consultant attendee support (copying, faxing, calls), lunch catering Word processing: letters, memos, meeting minutes, charette notes, transmittals, miscellaneous Coordinate, order, and ship project materials Project document bilingual translation Requirements: 3+ years executive assistance experience, interest in, or experience with, Design industry a plus. Excellent written and verbal in Mandarin and English communication skills ,TEM-8 is a plus Ability to work on immediate tasks while tracking long-term and on-going projects. Proficient in Microsoft Word, Excel, PowerPoint, and Outlook. Familiar with Photoshop, Acrobat, In Design, and online document sharing tools, such as WebEx, a plus. Detail-oriented, self-starter, eager to learn and contribute in a collaborative environment. Qualities such as sense of humour, positive energy, diligence and attention to detail plus the ability to remain calm in an intense, high level environment will serve this position well.
