职位类别: 行政/后勤 工作地点: 上海 发布日期: 2008-01-25 工作经验: 1-3年 最低学历: 本科 管理经验: 否 工作性质: 全职 招聘人数: 1人 职位描述/要求: Position Title: Receptionist and Administration Specialist Working Location: Shanghai , China Reports to: Operation Manger , China Position Purpose The primary purpose of this role is to provide administrative support to China practice to ensure the delivery of high quality service to the clients and the candidates. Key Result Areas (KRAs) Receiving phone call and visitors; Ordering hotel and meeting room for staff; Coordination with vendors, e.g. Water supplier, Travel Agent etc; Dealing with the couriers, internal mails and newspaper; To assist the admin daily operation. Perform administrative functions in relation to client / candidate files, to ensure quality file maintenance. Maintain the currency of the Fast Track system to track assignments, produce required reports and update data on potential candidates. Organise and co-ordinate all interviews, video conferences, site visits, pre-employment testing and travel arrangements, confirming and following up with the relevant people. Provide general secretarial support. Major Tasks Search and access data on potential candidates as required Receiving phone call and visitors Organise pre-employment screening and site visits where required for short-listed candidates. Organise interviews and appointments as directed by the Consultant. Organise travel and accommodation for Company personnel, candidates and clients as required. Respond to all queries in a professional manner and within agreed timeframes. Generate all standard candidate, client and marketing letters and ensure that any required follow up is conducted Produce and proof read proposals and other correspondence as required. Complete routine reports accurately and on time. Further business relationships, where appropriate, between the Company and clients by communicating effectively with relevant client executives and support staff. Perform any other duties as may reasonably be required from time to time. Position Specifications Ability to communicate fluently in English both in spoken and in writing. Ability to learn new tasks quickly. Ability to manage multiple priorities and organise time and resources to achieve tasks and deadlines. Ability to operate ethically and maintain confidentiality. Ability to use computer packages to intermediate level of competence. Ability to work in a fast paced environment. Ability to work independently and as an effective team member. Diverse administrative skills. Excellent interpersonal skills. Flexibility and adaptability. Maturity to ensure credibility with the clients. Personal presentation that meets the highest professional standards. Strong attention to detail.
